Cancellation and Refund Policy
By VietnamVisaEasy Visa Team · 2025-08-01 · Updated 2026-11-08

This refund policy explains when you get money back for a Vietnam e-visa order with VietnamVisaEasy, how much, and how to ask for it. It applies to every order placed on vietnamvisaeasy.com and is part of our Terms and Conditions.
What does the refund policy cover at a glance?
Four situations, each with a clear rule.
| Situation | What you get back |
|---|---|
| You cancel before we start processing | What you paid, minus the payment fee charged by PayPal or the card processor |
| You cancel after processing has started or is complete | No refund |
| We deliver more than 30 minutes after the guaranteed time | 100% of what you paid |
| Immigration refuses the visa because of your information or documents | The expedite fee (not the government fee or payment fees) |
| Immigration refuses the visa without a stated reason | 100% of what you paid |
| Delay caused by events outside our control | No refund; we tell you and ask for extra time |
| A mistake made by our team | We apply again free of charge |
Can I cancel my order and get a refund?
Yes, as long as we have not started processing it.
- Before processing starts: we refund what you paid, minus the fee that PayPal or the card processor charged for your payment. That fee is kept by them and is not returned to us.
- Once processing has started, or the visa is issued: the order cannot be cancelled or refunded, because our work and the government fee are already committed.
Most urgent orders start processing within minutes of payment. If you need to cancel, message us immediately with your order code. You can see whether your order is still waiting on the order status page.
What if my visa is late?
If we miss the guaranteed time by more than 30 minutes, we refund everything you paid.
Every speed has a guaranteed delivery time, shown before you pay, on your order page and in your confirmation email. We allow a margin of 30 minutes. If your result arrives later than that, we refund 100% of what you paid, government fee included. If you would still like us to complete the visa after a late delivery, contact us and we will agree the next steps with you.
The guaranteed time counts Vietnamese working hours, Monday to Friday, about 8:00–11:30 and 13:30–18:30 (GMT+7), unless you chose the weekend and holiday service. Waiting for your reply to our questions does not count.
What if Immigration refuses my visa?
If the refusal is caused by information or documents you provided, we refund the expedite fee.
The expedite fee is what you paid us minus two parts we cannot get back:
- The government fee (US$25 for single entry, US$50 for multiple entry), which the Vietnam Immigration Department keeps once the application is submitted.
- The payment fee charged by PayPal or the card processor.
Typical reasons are a wrong passport number, a photo that does not meet the rules, a passport that expires too soon, or a missing document requested by Immigration.
If Immigration refuses the visa without stating a reason, we refund 100% of what you paid, government fee included. If a refusal is caused by a mistake on our side, we apply again free of charge.
What happens with holidays, outages or government system errors?
We tell you and ask for extra time. Some delays are outside our control, for example:
- Unexpected closures around public holidays such as Tet
- Internet or network outages
- Errors or maintenance on the government e-visa system
- Sudden changes in government rules
- Natural disasters or similar events
When this happens, we contact you by email or WhatsApp as soon as we know, explain the cause and give you a new expected time. These delays are not counted as late delivery under this refund policy.
What if your team makes a mistake?
We fix it at our cost. If the visa shows a detail that differs from what you gave us, we submit a new application or a correction free of charge, at the fastest speed we can.
Please check the details on your visa as soon as you receive it, and tell us within 24 hours.
How does the refund policy work in practice?
Five example situations. These are illustrations, not real customer cases. Payment fees vary by provider and country, so the exact amounts can differ.
Example 1: cancelled in time. A traveler paid US$50 for normal processing, then changed plans 10 minutes later, before we started. They received US$50 back minus the PayPal fee.
Example 2: cancelled too late. A traveler paid for the 1 working day speed and asked to cancel the next morning, after the application was already submitted. No refund applied.
Example 3: late delivery. A traveler paid US$125 for 5 working hours. The result arrived 1 hour after the guaranteed time. They received the full US$125 back.
Example 4: refused because of a wrong passport number. A traveler paid US$110 for 1 working day and typed one digit of the passport number wrong. Immigration refused the visa. They received US$110 minus the US$25 government fee and minus the payment fee.
Example 5: government system outage. The e-visa system stopped working for an afternoon. We messaged the traveler, explained and gave a new time. The visa arrived that evening, and no refund applied.
How do I ask for a refund?
Message us with your order code. We answer 24/7.
- Send your order code and the reason on WhatsApp or to support@vietnamvisaeasy.com.
- We check your order and reply, usually within a few hours.
- Approved refunds go back to the card or PayPal account you paid with, within 1 working day.
- Your bank usually shows the refund within 3–7 working days.
How can I avoid a refused or delayed visa?
Check your details before you pay. Most problems come from small errors.
- Copy your name and passport number from the passport, not from memory.
- Enter the date you land in Vietnam, not the date you leave home.
- Use a clear, uncropped passport scan and a photo that meets the photo rules.
All prices are listed in the Vietnam visa cost guide. You can verify any issued e-visa on the official Vietnam e-visa portal.
