Being turned away at the check-in desk because of a Vietnam visa problem is stressful, but in most cases it is fixable if you act in the first ten minutes and know which options are still open. This page explains the seven reasons it happens, what to do at the airport step by step, and how to make sure it never happens to you.
Quick answer:
- Check-in refusals are usually: no visa, not approved yet, or a mismatch in name, date, port or passport number
- In the first ten minutes: check the live status, message WhatsApp with your flight, and work out the time in Vietnam
- Do not reapply on top of a pending file. Ask for a speed-up of the same file
- A boarding letter can bridge check-in, but it is not a visa and the airline decides
- Fast tiers run from $125 to $215; Speed Up starts from $70. No agency can guarantee approval

Why Airlines Refuse Boarding for Vietnam
Airlines check for a valid visa before they let you board, because carrying a passenger who is then refused entry creates problems for them. Seven situations cause most refusals:
| Reason at check-in | What it usually means | What to do |
|---|---|---|
| No visa at all | You did not apply, or assumed you were exempt | Apply now on a tier that fits the time left (see the table below) |
| Visa not approved yet | Application is still In Process or Amendment Required | Check the live status, then ask for a speed-up of the same file. Do not reapply |
| Name or passport number mismatch | Middle name missing, or a renewed passport has a new number | A correction, or a new application if the passport number changed |
| Wrong entry date | The date you leave home was entered instead of the day you land | Check the date on the visa. Ask support whether it can be corrected or must be reapplied |
| Wrong entry port | A transit hub (SIN, ICN, NRT, DOH) was entered as the entry port | Check the port on the visa and ask support what can be done |
| Passport validity under 6 months | Passport expires within 6 months of arrival | Renew the passport. The e-visa has to be applied for again with the new number |
| Visa not shown | Approved, but the PDF is on a phone with no signal or in a lost inbox | Search the inbox, or retrieve it from the status page with your registration code |
First Ten Minutes: What to Do at the Airport
- Do not argue or leave the desk yet. Ask the agent exactly what the problem is: no visa, not approved, or a mismatch.
- Check the live status. Open evisa.gov.vn/e-visa/search with your registration code, email and date of birth. The confirmation email is not the status.
- Message WhatsApp +84 947 754 252 with the registration code (if you have one), your flight number and departure time, and a screenshot of the status or the airline’s message.
- Work out the time in Vietnam. The weekday tiers close at fixed Vietnam times, so the clock in Vietnam decides which option is open.
- Ask the airline how long check-in stays open. It often closes 45 to 60 minutes before an international departure, but it varies by airline and airport.
- Decide: speed-up of the existing file, a new urgent application, a boarding letter as a bridge, or rebooking if nothing fits.
Do not submit a second application on top of a pending one. A duplicate under the same passport can hold both files and means paying the government fee twice.
What Is Still Open, by Vietnam Time
Weekday tiers run Monday to Friday during Vietnamese working hours. What you can use depends on the time it is in Vietnam when you contact us:
| Time in Vietnam (Mon–Fri) | What is still open |
|---|---|
| Before 11:00 | 1-Day ($110) and faster |
| 11:00 to 13:00 | 5-Hour ($125) and faster |
| 13:00 to 15:30 | 2.5-Hour ($155) and faster |
| 15:30 to 16:30 | 1.5-Hour ($185) and the 30–60 minute tier |
| After 16:30 | Only the 30–60 minute tier, if its cutoff allows (confirm on WhatsApp), or a boarding letter |
| Weekend or holiday | Weekend tier ($230 new, $210 to speed up, cutoff 15:00 Vietnam time) or a boarding letter |
These are cutoffs for submitting. A tier’s delivery time runs from submission, so leave a margin before check-in closes. No agency can guarantee approval or an exact decision time.

Vietnam is UTC+7 all year. Clocks in your country change, so each cell shows summer and winter time; use the one that applies today. Brisbane and Perth do not follow Sydney’s daylight saving. Weekday tiers run Monday to Friday only. Cutoffs are the last time to submit for that tier. The boarding letter has no cutoff.
Boarding Letter: What It Is and What It Is Not
A boarding letter is a document that can be arranged around the clock, including weekends and holidays, usually within about 30 minutes through WhatsApp. It is meant to bridge check-in when the e-visa is not ready.
About the boarding letter: it is a letter from us confirming that your e-visa application is in process. It is not a visa, and whether an airline accepts it is the airline’s decision, so we cannot guarantee it. Your approved e-visa is still needed at Vietnamese immigration. See what a boarding letter can and cannot do.
Ask your airline whether it will accept the letter before you rely on it. Rules differ by airline and route, and the airline makes that decision, not us.

Prevent It: The Pre-Flight Checklist
- Apply at least one to two weeks before you fly. Standard processing is around 3 working days, often 3 to 5, and weekends and Vietnamese holidays do not count.
- Check the name, passport number, entry date and entry port on the approved PDF against your passport and your booking.
- Confirm your passport is valid for at least 6 months from the day you arrive.
- Use the arrival date in Vietnam as the entry date. Flights from the Americas often land one or two days later.
- Choose 90 days. It costs the same as 30 and cannot be changed after approval.
- Save the approved PDF offline and carry one printed copy.
- Give every traveler, including children, their own application.
- Never apply from inside Vietnam. Applications made there are commonly rejected or left unprocessed.
If you are exempt from a visa, check the allowed stay for your passport before booking a longer trip. Exemption lengths differ by country and change over time.

All prices include the $25 government fee and are for single entry. Multiple entry adds $25.

Frequently Asked Questions
Why was I stopped at check-in for Vietnam?
Usually because the airline could not see a valid visa: none was applied for, the e-visa was not yet approved, or a detail such as the name, entry date or passport number did not match.
Can I still get a Vietnam visa at the airport before my flight?
Possibly. On a weekday, a fast tier may still be open depending on the time in Vietnam, and a boarding letter can bridge check-in on weekends or after hours. No agency can guarantee approval or an exact time.
Is a boarding letter a visa?
No. It is a document to help at check-in while the e-visa is processed. Whether the airline accepts it is the airline’s decision.
Should I submit a new application if mine is stuck?
No. A duplicate under the same passport can hold both files and means paying the government fee twice. Ask for a speed-up of the existing file.
How long does check-in stay open?
It varies by airline and airport and often closes 45 to 60 minutes before an international departure. Ask the airline at the desk.
What if my visa has a mistake?
Check the live status. A correction may be possible, or a new application may be needed, for example if the passport number changed. Ask support before you decide.
What if I miss the flight?
Ask the airline about rebooking. Keep your documents and message support, since a visa processed in time can still be used for the next flight.
What is the refund policy?
100% refund if we cannot complete your visa, or if we do not complete it within the timeframe we committed to. Confirm the price, the time and the refund in writing on WhatsApp before you pay.
