🇺🇸 Vietnam Visa Not Approved in Time – What US Travelers Should Do (2026 Guide)

CRITICAL: Do NOT submit a new application on evisa.gov.vn. Read Step 1 first.

Vietnam eVisa Not Approved — US Citizens — Processing Stuck Guide 2026

Vietnam Visa Not Approved in Time USA 2026: Applied Correctly But Still Processing — Path A, Path B, Boarding Letter

Processing does not mean rejected. It means the application is in the Vietnamese Immigration queue and has not yet been reviewed. The correct action is escalation — not reapplication. Submitting a second application creates two conflicting files that delay both by 24–48 hours.

Processing = rejected?

NO — still in queue

Reapply?

NEVER — delays both

First — Understand the Status

“Processing” on evisa.gov.vn Means Three Specific Things — None of Them Are Rejection

What it IS

Your application is in the Vietnamese Immigration review queue. It has been received, the $25 government fee is registered, and it is waiting for a human reviewer to process it during business hours. The queue position depends on volume, timing, and whether any data triggers a manual check.

What it is NOT

Processing is not a rejection. The Vietnamese system shows three distinct statuses: Processing (in queue), Approved (PDF ready), or Rejected (denied with reason code). If the status is Processing, the application has not been refused — it has simply not been reviewed yet.

Why it takes longer than expected

Applications submitted on Friday ET become Saturday VNT — no processing starts until Monday. Vietnamese public holidays pause processing entirely. Peak season (Tet, summer) creates backlogs. A photo or data issue moves the application to manual review, which takes longer than batch processing.

The Friday ET trap for US travelers

A US traveler submitting at 8pm ET Friday (= 7am VNT Saturday) sees “Processing” and assumes processing is underway. It is not. Vietnam Immigration does not work on weekends. The application sits in queue until Monday 8am VNT. If the flight is Saturday or Sunday, no standard eVisa tier can deliver in time — Boarding Letter or Weekend Service are the only options.

The Protocol

Three Steps. Do Not Deviate from Step 1.

1

Non-negotiable

Do NOT submit a new application on evisa.gov.vn

Two Reference Numbers in the system = manual deduplication queue = 24 to 48 hours added to resolution time. The single most common way a recoverable situation becomes a missed flight. Even if the first application has an error, the correct process is to identify the error and submit a corrected priority application through proper escalation channels — not to submit a blind second application on the government portal.

2

Immediately

WhatsApp these 3 items to +84 947 754 252

Reference Code From evisa.gov.vn — format E260705USA... (on your application confirmation page or order history)
Registered email Email address used when submitting the application on evisa.gov.vn
Flight to Vietnam Flight number arriving in Vietnam, e.g. KE 689 / UA 869 / SQ 37 / VN 54

If you applied through VietnamVisaEasy: also include your order confirmation email. Response within minutes.

3

Free assessment

Path A or Path B — determined in minutes, no charge

Path A — Application correct

Escalate existing file directly

No new application submitted. No new government fee charged. The existing Reference Number is flagged for priority review by Vietnam Immigration. Delivery approximately 60 minutes during VNT business hours.

Boarding Letter issued in 30 min as bridge while escalation runs.

Path B — Error found

Free correction + priority resubmission

The existing application has a data error (entry point, name, arrival date, photo). We identify the exact error at no charge, correct it, and submit a new priority application. New government fee applies only for the corrected resubmission.

Boarding Letter issued immediately while resubmission is processed.

Free assessment. 30 min Boarding Letter. 24/7.

WhatsApp: +84 947 754 252

The Boarding Approval Letter (30 min, 24/7) is issued immediately as a bridge in both paths — so you can proceed to check-in at JFK, LAX, SFO, ORD, ATL, IAH, DFW, BOS, SEA or MIA while the eVisa is being processed. Full eVisa PDF delivered before landing in Vietnam.

ET Time-Based Action Plan

How Many Hours Until Your Flight? Read Only That Row.

All times ET (Eastern). CDT/MDT/PDT: subtract 1/2/3 hours. Vietnam is 11h ahead of EDT, 12h ahead of EST. VNT business hours: Mon–Fri 08:00–18:00 VNT.

Time until flight Situation Action
48+ hours Applied correctly, still Processing after 2+ days WhatsApp Reference Code + email + flight number. Path A escalation likely resolves in hours. No Boarding Letter needed yet — time to fix properly.
24–48 hours Flight tomorrow, still Processing tonight WhatsApp immediately. If before 1am ET tonight: Path A escalation (~60 min) + Boarding Letter as backup. If after 1am ET: Boarding Letter now, Path A at 7am ET tomorrow. See also: Flight Tomorrow Vietnam Visa USA.
6–24 hours Check-in in hours, still Processing WhatsApp immediately. Path A escalation (~60 min) if before 18:00 VNT (= 1am ET). Boarding Letter in 30 min as bridge simultaneously. Both run in parallel — Boarding Letter covers check-in while eVisa is escalated.
2–6 hours At airport or en route, no visa Boarding Letter first — WhatsApp now, 30 min, accepted at all US airports. Path A escalation in parallel if VNT office still open (before 1am ET). Do not waste time at airline counter without Boarding Letter in hand.
Under 2 hours Gate closes soon, no visa WhatsApp immediately for Boarding Letter. 30 minutes. 24/7. Show WhatsApp letter + passport to check-in supervisor. Do not wait in standard check-in line without it. Full eVisa will arrive before landing.
Weekend Saturday or Sunday, Processing not moving Standard processing is paused on weekends. Boarding Letter: 30 min, 24/7, any time. Weekend Service ($210 speed-up): submit before 15:00 VNT (= ~5pm ET Sat/Sun) for next VNT morning batch.

VNT = UTC+7. No daylight saving in Vietnam. EDT summer = UTC−4. EST winter = UTC−5. VNT office closes 18:00 VNT = 1am EDT / midnight EST.

Why It Happened

Seven Reasons Vietnam eVisa Is Not Approved in Time for US Citizens

1. Submitted Friday ET — processing only starts Monday VNT

Any application submitted after 4pm ET Thursday (= after 11pm VNT Thursday, or anytime Friday ET) hits a weekend queue. Vietnamese Immigration does not process on Saturday or Sunday VNT. The application waits until Monday 8am VNT. Many US travelers submit “Thursday night” thinking they have a full business day remaining — they do not.

Most common
US cause

2. Wrong name format — middle name missing or nickname used

US passports include all given names (including middle name) in the MRZ. An application entering “John Smith” when the passport says “JOHN MICHAEL SMITH” triggers a manual data verification flag — adding 1 to 3 business days to processing. The system cannot auto-approve when the name does not match the MRZ exactly.

3. Passport photo uploaded as HEIC instead of JPEG

iPhone saves photos in HEIC format by default. The evisa.gov.vn portal requires JPEG. When a HEIC file is submitted, the system either rejects it outright or stores it as an unprocessable file, sending the application into a pending technical review queue. Fix: iPhone Settings → Camera → Formats → Most Compatible (switches to JPEG).

4. Entry point set to JFK, LAX, ICN, or NRT instead of Vietnamese airport

The entry port field requires the Vietnamese airport where immigration is first cleared. US flights via Seoul (ICN) or Tokyo (NRT) commonly result in applicants entering ICN or NRT — both trigger a data mismatch flag. Correct options: Tan Son Nhat (SGN) for HCMC, Noi Bai (HAN) for Hanoi, Da Nang (DAD) for Da Nang.

5. Wrong arrival date — US departure date used instead of Vietnam arrival date

JFK to SGN via ICN departs Monday night ET, arrives Wednesday morning VNT — two calendar days later. An arrival date of Monday creates a system check because the flight data shows arrival two days later. Check the Vietnam arrival date on the booking confirmation, not the US departure date.

6. Vietnamese public holiday or Tet period backlog

Vietnamese National Day (September 2), Independence Day (April 30–May 1), Tet (January/February, variable) pause all government processing. Applications submitted in the days before or during these periods queue until the office reopens. Tet backlogs can extend processing to 7+ business days even for applications without errors.

7. Passport bio-data page photo blurry, glare on MRZ, or corners cut off

The evisa.gov.vn automated OCR system reads the MRZ (two lines of machine-readable text at the bottom of the bio-data page). If glare, shadow, or a cut-off corner prevents the MRZ from being read, the application is routed to a human reviewer. Human review queues are significantly longer than automated batch processing.

Frequently Asked Questions

My Vietnam eVisa was applied on time but is still Processing. What do I do? ▼

Do not reapply. WhatsApp +84 947 754 252 with: (1) Reference Code from evisa.gov.vn (format E260705USA...), (2) email registered on evisa.gov.vn, (3) flight number arriving in Vietnam. Free Path A (escalate correct file, ~60 min, no new fee) or Path B (error found, corrected resubmission). Boarding Letter 30 min as bridge.

Does Processing mean my Vietnam visa was rejected? ▼

No. The evisa.gov.vn system has three distinct statuses: Processing (in queue, not yet reviewed), Approved (PDF ready to download), and Rejected (refused with reason code). Processing means your application exists in the system and has not been refused — it has simply not been assigned to a reviewer yet.

How long does Vietnam eVisa take to approve for US citizens in 2026? ▼

Government standard: 3–5 Vietnamese business days (Mon–Fri VNT, excluding holidays). Does not count weekends or public holidays. Applications with data errors go to manual review, which takes longer. VietnamVisaEasy expedited: 1-Day $110 (same VNT day), 5-Hour $125, 2.5-Hour $155, 1-Hour $185 (before 18:00 VNT weekdays). Path A escalation of a Processing application: approximately 60 minutes.

Can I speed up my existing Vietnam eVisa without reapplying? ▼

Yes, via Path A. The existing Reference Number is flagged for priority review without any new submission. No new government fee. Delivery approximately 60 minutes during VNT business hours. If the file has an error, Path B corrects and resubmits with a new priority application.

Why is my Vietnam eVisa still Processing after 5 days? ▼

Seven causes: (1) Submitted Friday ET = sits until Monday VNT. (2) Middle name missing from name field. (3) Photo uploaded as HEIC not JPEG. (4) Entry port set to transit hub (ICN/NRT/SIN) not Vietnamese airport. (5) Wrong arrival date (US departure vs Vietnam arrival). (6) Vietnamese public holiday or Tet period. (7) MRZ strip on passport photo blurry or cut off. WhatsApp with Reference Code for free error check.

What is the Boarding Approval Letter and can I board with it at JFK or LAX? ▼

Official letter from VietnamVisaEasy in 30 minutes via WhatsApp, 24/7. Authorizes the airline to board you while the full eVisa is escalated and delivered before landing in Vietnam. Accepted at JFK, LAX, SFO, ORD, ATL, IAH, DFW, BOS, SEA, MIA and all US departure airports for Vietnam routes. Present the WhatsApp letter plus passport to the check-in supervisor — not the standard counter.
